These Terms and Conditions (“Terms”) govern your access to and use of the AIDSAE website, services, and content, including manuscript submission, peer review, editorial processing, and publication. By using the AIDSAE website or services, you agree to these Terms.

If you do not agree with these Terms, please do not use the website or services.


1) Definitions

·         “Website” refers to the AIDSAE journal site and related submission/review systems.

·         “Services” include account registration, manuscript submission, peer review, editorial decisions, publishing workflows, and related communications.

·         “User” refers to any person accessing the website or using the services, including authors, reviewers, editors, and readers.

·         “Content” includes manuscripts, reviews, decisions, published articles, metadata, files, and any material hosted on the website.


2) Use of the Website

You agree to use the website and services only for lawful purposes and in a manner that does not:

·         violate any law or regulation,

·         infringe intellectual property rights,

·         upload malware or attempt unauthorised access,

·         disrupt or overload the website, or

·         misuse the journal to harass, defame, or threaten others.

EcoScribe may suspend or restrict access where misuse, security threats, or policy violations are suspected.


3) Accounts and Registration

To submit or review manuscripts, you may need to create an account. You agree to:

·         provide accurate and up-to-date information,

·         keep your login credentials confidential, and

·         notify the journal if you suspect unauthorised use.

You are responsible for activity carried out using your account.


4) Manuscript Submission — Author Responsibilities

By submitting to AIDSAE, authors confirm that:

4.1 Originality and integrity

·         the work is original and not under consideration elsewhere,

·         all sources are properly cited,

·         data, analyses, figures, and results are not fabricated or falsified,

·         all authors meet authorship criteria and have approved the submission.

4.2 Ethics and permissions

Where applicable, authors must provide:

·         ethics approval and/or consent details for human/animal studies,

·         permissions for copyrighted material, datasets, or images,

·         privacy safeguards for sensitive data (e.g., health, location, minors).

4.3 Double-blind review compliance

AIDSAE uses double-blind peer review. Authors must submit:

·         an anonymised manuscript for review (no author identifiers), and

·         a separate title page containing author details and declarations.

4.4 Data, code, and reproducibility

Authors must include a Data, Code & Reproducibility Statement, describing:

·         dataset source and access conditions,

·         validation design and evaluation metrics,

·         availability of code/models (open where possible, or reproducible in principle if restricted).

4.5 Use of AI tools

Authors may use AI tools for language editing or minor assistance, but must:

·         ensure the work is accurate and verifiable,

·         take full responsibility for the content, and

·         disclose AI assistance where required by journal policy.

AIDSAE may reject manuscripts that appear to contain unverifiable claims, invented references, fabricated results, or extensive AI-generated text without scientific substance.


5) Editorial Rights and Decisions

AIDSAE reserves the right to:

·         conduct initial screening and desk reject submissions that are out of scope, incomplete, poorly reported, or raise integrity concerns,

·         request clarifications or supporting documentation (e.g., ethics approval, data permissions, analysis details),

·         select reviewers and determine the review process appropriate to the submission type,

·         make final publication decisions.

Editorial decisions are based on editorial judgment and peer review. Review timelines may vary depending on reviewer availability and manuscript complexity.


6) Peer Review — Reviewer Responsibilities

Reviewers agree to:

·         treat manuscripts and review communications as confidential,

·         declare conflicts of interest and decline review where conflicts exist,

·         provide objective, respectful, evidence-based feedback,

·         not use manuscript content for personal advantage or sharing prior to publication.

AIDSAE may remove reviewers from the reviewer pool if confidentiality is breached or reviews are abusive or unprofessional.


7) Publication Fees (APC)

AIDSAE is an open access journal with an Article Processing Charge (APC) of USD 50 per accepted article.

·         No submission fees are charged.

·         The APC is payable only after acceptance and before scheduling the final version for publication.

·         Payment methods include bank transfer, mobile money, and PayPal. Payment details are provided in the official acceptance/payment request email.

Refunds: If a manuscript is withdrawn after acceptance and production has started (e.g., copyediting, layout, DOI/metadata processing), refunds are normally not provided.


8) Copyright and Licensing (CC BY)

Authors retain copyright in their work. By publishing in AIDSAE, authors grant AIDSAE/EcoScribe Publishers Company Limited a non-exclusive right to publish, reproduce, distribute, display, and archive the article (including its metadata) and to identify AIDSAE as the original publisher.

All articles published in AIDSAE are made available under the Creative Commons Attribution (CC BY) licence. This licence permits others to copy, redistribute, remix, transform, and build upon the work for any purpose, including commercial use, provided that appropriate credit is given to the author(s) and the original publication in AIDSAE, and that a link to the licence is provided.


9) Website Content and Availability

We aim to keep the website available and secure, but we do not guarantee uninterrupted access. The website may be temporarily unavailable due to maintenance, upgrades, or technical issues.

EcoScribe may modify or discontinue website features at any time.


10) Disclaimers

·         Published content reflects the views of the authors, not necessarily those of AIDSAE, EcoScribe, editors, or reviewers.

·         While we strive for accuracy, EcoScribe does not guarantee that website content is error-free or complete.

·         Users rely on published content at their own risk.


11) Limitation of Liability

To the maximum extent permitted by law, EcoScribe and AIDSAE shall not be liable for indirect, incidental, special, or consequential damages arising from the use of the website or services.

Nothing in these Terms limits liability where it cannot be limited under applicable law.


12) Privacy

Your use of the website is also governed by the AIDSAE Privacy Policy, which explains how we collect and process personal information.


13) Changes to These Terms

We may update these Terms from time to time. Updates will be posted on this page with a revised effective date. Continued use of the website after changes means you accept the updated Terms.


14) Governing Law

These Terms are governed by the laws of Uganda, and disputes shall be handled in the courts of Uganda, unless otherwise required by applicable law.
