Checklist for Submission — AIDSAE

Before submitting to Applied AI & Data Science for Health, Agriculture & Environment (AIDSAE), confirm that your manuscript meets all requirements below. Submissions that fail these checks may be returned for correction or desk rejected.

A) Required Files (Double-Blind Review)

☐ Anonymised Manuscript (Main File – for peer review) uploaded in Microsoft Word (.doc/.docx)

  • No author names, affiliations, emails, acknowledgements, or self-identifying statements
  • Figures and tables included (embedded near where referenced) with clear captions

☐ Title Page (Separate File – not for reviewers) uploaded in Word

  • Full author names, affiliations, ORCID(s) (if available)
  • Corresponding author contact details
  • Funding statement, conflict of interest statement, acknowledgements
  • Ethics approval/consent details (if applicable)

B) Manuscript Completeness

☐ Title, abstract (≤250 words), and 4–6 keywords included
☐ Clear article type selected (Original Article / Technical Note / Data Paper / Review / etc.)
☐ All abbreviations defined at first use
☐ References complete and consistent (APA or journal-required style), with DOIs/URLs where available

C) AI & Data Science Reporting Minimums (Required)

☐ Dataset statement included: source, time period, inclusion/exclusion criteria, key variables, access conditions
☐ Preprocessing pipeline described: cleaning, missing data handling, feature engineering, encoding/normalization
☐ Validation strategy clearly stated: train/validation/test split or cross-validation design
☐ Hyperparameter tuning approach described (and what data split was used for tuning)
☐ Baseline comparator(s) included (at least one meaningful baseline)
☐ Metrics defined and appropriate for the task (and how they were computed)
☐ Leakage safeguards described (patient-level/farm-level/spatial/temporal leakage controls)
☐ Error analysis / failure modes included (where the model performs poorly and likely reasons)

D) Reproducibility (Required Statement)

☐ Data, Code & Reproducibility Statement included in the manuscript, stating one of the following:

  • Open data + open code (links provided), OR
  • Restricted data + open code (access conditions provided), OR
  • Restricted data/code with reproducible-in-principle reporting (parameters, versions, clear methods)

☐ Software/tools and key version numbers reported (e.g., Python/R, major libraries)

E) Ethics, Privacy, and Permissions (Where Applicable)

☐ Ethics approval committee name and reference/ID provided (human/animal studies)
☐ Consent procedures described (or justification for waiver)
☐ Privacy protections stated for sensitive data (de-identification/aggregation/security)
☐ Permissions obtained for third-party material (figures, images, datasets) where required

F) Declarations (Required)

☐ Conflict of Interest statement included (or “The authors declare no conflicts of interest.”)
☐ Funding statement included (or “This research received no specific funding.”)
☐ Author contributions stated (recommended)
☐ AI tool use disclosed if used beyond minor language editing (recommended/required per policy)

G) Final Author Confirmations

☐ The manuscript is original, not under review elsewhere, and all authors approve submission
☐ Results and references are accurate; no fabricated data or invented citations
☐ You agree to AIDSAE policies (peer review, ethics, privacy, APC, and licensing)

H) APC Reminder

☐ You understand AIDSAE charges an APC of USD 50 only after acceptance (no submission fee).
