AIDSAE supports responsible sharing and archiving of scholarly work. This Repository Policy explains what authors may deposit in repositories, when they may deposit it, and how it should be cited.
1) What Authors May Deposit
Authors may deposit the following versions of their manuscript in institutional repositories, subject repositories, personal websites, and non-commercial scholarly sharing platforms:
a) Preprint (Submitted Version)
The version of the manuscript prior to peer review.
b) Accepted Manuscript (Postprint / Author Accepted Manuscript)
The version accepted for publication after peer review and editorial acceptance, but before copyediting, typesetting, and final layout.
c) Version of Record (Published Article)
The final published PDF/HTML as it appears on the AIDSAE website.
2) When Authors May Deposit (Embargo)
AIDSAE is an open access journal. Authors may deposit:
- Preprints: at any time (before or during peer review).
- Accepted Manuscripts: immediately upon acceptance.
- Version of Record: immediately upon publication on the AIDSAE website.
No embargo period applies.
3) Where Authors May Deposit
Authors may deposit permitted versions in:
- institutional repositories (university repositories)
- subject repositories (discipline-based repositories)
- personal or laboratory websites
- funder repositories
- scholarly networking platforms
AIDSAE recommends using repositories that provide persistent identifiers (e.g., DOI) and long-term preservation where possible.
4) Required Citation and Linking (Version Control)
To maintain a clear scholarly record, deposited versions must include:
- Full citation of the AIDSAE publication, and
- A link to the Version of Record on the AIDSAE website once available.
Recommended text for deposited versions:
“This is a [preprint/accepted manuscript] of an article published in Applied AI & Data Science for Health, Agriculture & Environment (AIDSAE). The final Version of Record is available from AIDSAE.”
If a DOI is assigned, authors should include the DOI in the repository record.
5) Licence and Reuse
All AIDSAE published articles are licensed under CC BY. This permits others to share and adapt the work for any purpose (including commercial use), provided appropriate attribution is given to the authors and the original publication in AIDSAE is cited.
For preprints and accepted manuscripts, authors should ensure that repository licence settings do not conflict with any third-party rights contained within the manuscript (e.g., copyrighted figures).
6) Third-Party Material
If a manuscript includes third-party material (figures, images, datasets, maps, or tables) that is not owned by the authors, authors are responsible for obtaining permission where required and clearly identifying any material not covered by CC BY.
7) Data and Code Repositories (Strongly Encouraged)
AIDSAE strongly encourages authors to deposit datasets, code, and model artefacts (where ethical and legally permissible) in recognized repositories that provide persistent identifiers (e.g., DOI), versioning, and clear access terms.
Examples include institutional repositories and widely used open repositories (e.g., Zenodo, Figshare, OSF, Dataverse, GitHub with archived release). Where data are restricted (e.g., sensitive health data), authors should provide access conditions and, where possible, share derived/aggregated data and code.
8) Corrections, Retractions, and Updates
If an article is corrected or retracted, AIDSAE may update the Version of Record on the journal website and add appropriate notices. Authors are encouraged to update repository records to link to the corrected/retracted Version of Record and reflect the latest status.
